1. Scope of This Policy

This Privacy Policy explains how Wild Moon Midwifery & Women's Health ("Wild Moon Midwifery," "we," "us," or "our") collects, uses, and protects information gathered through our website, www.wildmoonmidwiferync.com (the "Site"), and through our online consultation scheduling tool.

This Privacy Policy covers information collected through the Site and public-facing tools (such as contact forms and our Calendly scheduler) before you become a client. It is separate from, and does not replace, our HIPAA Notice of Privacy Practices, which governs Protected Health Information (PHI) we collect and maintain once you are an established client receiving clinical care. If you are an established client, please refer to the Notice of Privacy Practices you received or ask us for a copy.

2. Information We Collect

2.1 Information You Provide Directly

Contact details submitted through website forms (name, email, phone number, message content)
Scheduling information submitted through Calendly to book a free consultation (name, email, phone number, appointment date/time, and any general notes you choose to include)
Any information you voluntarily provide by email or phone

2.2 Information Collected Automatically

Standard technical data such as IP address, browser type, device type, and pages visited, collected through our website host and analytics tools
Cookies and similar tracking technologies used for site functionality, analytics, and advertising, as described in Section 5

2.3 Information We Ask You Not to Submit Through the Site

Please do not submit medical history, symptoms, diagnoses, current medications, or other sensitive health information through website contact forms or the Calendly scheduler. These channels are not secured or configured to handle Protected Health Information. See Section 4 below.

4. Third-Party Service Providers

4.1 Calendly (Scheduling)

We use Calendly to allow prospective clients to schedule free consultations. Calendly is a third-party company and is not owned or controlled by Wild Moon Midwifery. Calendly has not signed a Business Associate Agreement (BAA) with Wild Moon Midwifery and is not a HIPAA-compliant tool for the transmission of Protected Health Information. Information you submit through Calendly is subject to Calendly's own privacy policy and terms of service in addition to this Privacy Policy. We ask that you not include medical history or health details when scheduling through Calendly; see our Terms and Conditions, Section 4, for details.

4.2 Website Hosting Platform

Our Site is hosted on Wix. Wix, as our hosting provider, may process technical data (such as IP address and browsing activity) as necessary to operate the Site.

4.3 Analytics and Advertising Tools

We use Google Analytics to understand how visitors find and use the Site, such as which pages are viewed and how visitors arrived at the Site. Google Analytics collects information through cookies and similar technologies. You can learn more about how Google collects and processes this data, and adjust your settings, through Google's own privacy resources, and you can opt out of Google Analytics tracking using Google's Analytics Opt-out Browser Add-on.

We also use the standard Meta Pixel (Facebook Pixel) on the Site. The Meta Pixel allows us to measure the effectiveness of our Facebook and Instagram advertising and to show relevant ads to people who have visited the Site when they use Meta platforms. In its standard configuration, the Meta Pixel collects information about your browsing behavior on the Site, such as pages viewed and actions taken, and shares this information with Meta; it does not use Advanced Matching to associate your visit with personal identifiers such as your name, email address, or phone number. Meta's use of this information is governed by Meta's own data policy. You can manage how Meta uses your data for ad personalization through your Meta account's ad preferences, and you can opt out of interest-based advertising more broadly through tools such as the Digital Advertising Alliance's opt-out page.

4.4 Email Marketing

We use the Wix email marketing platform to send communications such as appointment confirmations, consultation reminders, and, if you opt in, newsletters or updates about Wild Moon Midwifery. Any email address you provide to us is stored and processed within Wix's email marketing tools, subject to Wix's own privacy policy in addition to this Privacy Policy. You may unsubscribe from marketing emails at any time using the unsubscribe link included in those emails; this will not affect transactional communications related to a scheduled appointment.

5. Cookies

The Site uses cookies to support basic functionality, analytics (Google Analytics), and advertising (Meta Pixel), as described in Section 4. You can control or disable cookies through your browser settings; disabling cookies may affect certain Site features and will limit our ability to recognize repeat visits or measure advertising effectiveness.

6. Protected Health Information (PHI) and HIPAA

Wild Moon Midwifery is a HIPAA covered entity with respect to the clinical care we provide to established clients. Once you become a client, generally upon completion of intake and signature of our Informed Consent Disclosure, health information we collect and maintain about you is treated as PHI and is protected under HIPAA and our internal privacy and security policies, and is governed by our separate HIPAA Notice of Privacy Practices, not by this website Privacy Policy.

Information submitted through the Site prior to becoming a client, including through Calendly, is not treated as PHI, as described in Sections 2 and 4 above, because it is collected outside of a HIPAA-secured channel and prior to establishment of a provider-patient relationship.

7. Data Security

We take reasonable steps to protect information submitted through the Site. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security, particularly for third-party tools such as Calendly, Google Analytics, and the Meta Pixel that we do not directly control.

8. Children's Privacy

The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site.

9. Your Choices and Rights

You may decline to submit information through the Site and instead contact us directly by phone or email.
You may request that we delete non-clinical contact information you have submitted through the Site by contacting us at info@wildmoonmidwiferync.com.
You may opt out of Google Analytics and Meta Pixel tracking using the tools described in Section 4.3.
If you are an established client, rights related to your PHI, such as access, amendment, and accounting of disclosures, are addressed in our HIPAA Notice of Privacy Practices.

10. Data Retention

We retain website inquiry and scheduling information only as long as reasonably necessary for the purposes described in this Policy, and in accordance with applicable law. Retention of clinical records for established clients is governed separately by HIPAA and North Carolina medical and midwifery recordkeeping requirements.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date above reflects the most recent revision.
